Frequently Asked Questions About Scheduling
Q: How quickly can I be seen?
A: Most patients are scheduled within one to two business days. For new acute injuries that need same-day evaluation, we offer walk-in Immediate Injury Care at our Newburg Road campus in Louisville.
Q: Do I need a referral?
A: Most patients can self-refer. Some insurance plans (particularly HMOs and certain Medicare Advantage plans) require a referral — call 502-430-3689 to confirm your plan's requirements before scheduling.
Q: What insurance plans do you accept?
A: Aptiva accepts most major commercial plans, Medicare, Medicare Advantage, and workers' compensation. Specific plan participation can vary by provider. Call 502-430-3689 to verify your plan before your visit.
Q: What should I bring to my first appointment?
A: Your insurance card, a photo ID, a list of current medications, and any prior records or imaging related to your concern. We'll send you new patient paperwork in advance.
Q: How long is a new patient appointment?
A: New patient evaluations typically run 45-60 minutes. Follow-up visits are usually 15-30 minutes.
Q: Can I be seen via telehealth?
A: Yes, telehealth is available for many of our services — particularly Mental Wellness, follow-up visits, and medication management. Some services (new orthopedic evaluations, physical therapy, imaging) need to be in-person. Call to discuss which works for your situation.
Q: How do I prepare for my appointment?
A: Complete your new patient paperwork before you arrive. Wear comfortable clothes that allow easy examination of the area of concern. Plan to arrive 10-15 minutes early for paperwork verification.
Q: What if I need to reschedule or cancel?
A: Call 1-844-999-3627 at least 24 hours in advance to reschedule or cancel without a fee.
